How Copilot fits into Microsoft 365

Microsoft 365 Copilot supports drafting, summarizing and finding information within everyday work. A useful introduction starts with specific roles: which source material should a salesperson, project manager or analyst use, and who checks the result? Digital Cloud can structure a pilot around these questions, with implementation and support defined in the agreed scope.

Microsoft 365 Copilot connects AI assistance with the Microsoft 365 apps and work information a user is allowed to access. A prompt describes the task; relevant context helps produce a draft or answer. The result still needs human review. It is a practical aid for preparing work, not a guarantee that every statement is correct.

Explore a Word briefing, an Outlook reply or a Teams meeting follow-up using approved examples. Evaluate accuracy, source quality and editing effort separately from the speed of producing a first draft.

Prepare information access

Review SharePoint and OneDrive sharing before selecting pilot content. Copilot works within existing access permissions; overly broad access therefore remains an information-governance issue to resolve.

Make adoption measurable

Select representative users, establish a task baseline and capture usefulness alongside corrections. Confirm eligible licenses, application readiness and administrator responsibilities before assigning access.

The system behind the experience

Copilot combines language models, Microsoft 365 applications and relevant work context accessed through Microsoft Graph. That context can include documents, messages and meetings within the user’s permissions. Copilot Chat, licensed app experiences and custom agents are different options; work-data access and available features depend on the assigned license and configuration. We review the actual tasks before recommending which experience fits.

Word: prepare a first draft or summarize a document. Outlook: catch up on a conversation and draft a reply. Teams: review meeting discussion and proposed follow-up actions where the required features and meeting settings are available. PowerPoint: develop a presentation outline. Information access and responsible use

Existing permissions matter: information shared too broadly can also be discovered too broadly. Review SharePoint sites, shared files, guest access and sensitive information before rollout. Decide who may use agents, connectors and web features, and evaluate their data handling separately. Employees should verify sources and follow your organization’s rules before sharing or acting on an answer.

Readiness, licensing and technical requirements

Start by checking the eligible Microsoft subscription, Copilot licensing, supported apps, user identities and network access for the intended experience. Features vary by application, language, configuration and license. Digital Cloud can scope a readiness review and confirm the product requirements in the proposal; the consulting engagement does not automatically include software subscriptions.

This makes the rollout decision depend on evidence from your own business.

Training and assistants beyond everyday tasks

Training covers clear prompts, useful context, checking outputs and recognizing when to ask a colleague. Administrator sessions cover rollout settings and ownership. When a use case needs a custom knowledge assistant or connected workflow, we assess Copilot Studio or another suitable approach separately, including data sources, action approvals and maintenance responsibilities.

What to prepare for a Copilot conversation

Bring the teams you want to support, a few repeated tasks, your Microsoft 365 setup and the information those tasks use. Avoid sending passwords or sensitive source documents through the inquiry form. We can agree a secure review process, practical pilot deliverables and a training plan after discussing the scope.

Does Copilot replace human review?

No. Generated output can contain errors or omit context. Assign a reviewer for factual accuracy, confidentiality and any customer-facing commitments.

What determines the cost and schedule?

The starting environment, integrations, user groups and agreed outputs determine the effort. We confirm scope and commercial terms before work begins. Software licenses, infrastructure consumption and ongoing support may be separate items.

What will we receive?

The proposal identifies the deliverables: these may include findings, a prioritized roadmap, a tested configuration, a prototype, documentation or training. We agree what is included and how completion will be assessed.

Can this work with our existing systems?

We review the actual applications, data sources and access requirements before recommending an integration. Dependencies and compatibility limits are recorded so the delivery plan reflects your environment.

What happens after the initial work?
