M365 Copilot Workshop

Practice prompts on realistic tasks and discuss information boundaries. Leave with pilot use cases and a plan to evaluate results.

01

How Copilot fits into Microsoft 365

A Copilot workshop should answer a specific adoption question: where could assistance help, how can a pilot demonstrate value, or does a scenario require a custom agent? Digital Cloud can agree a discovery, practice or pilot-evaluation format with business users and the administrators who support them.

Microsoft 365 Copilot connects AI assistance with the Microsoft 365 apps and work information a user is allowed to access. A prompt describes the task; relevant context helps produce a draft or answer. The result still needs human review. It is a practical aid for preparing work, not a guarantee that every statement is correct.

Capabilities and scope

Discover relevant scenarios

Participants bring recurring tasks and approved sample material. Compare drafting, summarizing and information retrieval, then rank candidates by frequency, review effort and data readiness. Separate Microsoft 365 Copilot tasks from potential Copilot Studio extensions.

Practice and critique prompts

Build instructions containing a goal, context, source material and expected format. Compare outputs, inspect references and identify missing information. Include an exercise where a confident answer still requires correction.

Define a proof of value

Agree a baseline, pilot audience and feedback questions. Review licensing, permissions and training needs. If a pilot is included, decide how observations and available usage information will inform an expansion decision.

A practical example

Project coordinators compare a manual status briefing with an assisted draft, recording time spent checking sources and correcting omissions rather than counting generated words.

What your project can deliver

  • Prioritized scenario cards with required data
  • Reusable prompt examples and review checklist
  • Pilot success criteria and readiness actions

The final deliverables, licensing and responsibilities are agreed for your environment before implementation.

02

The system behind the experience

Copilot combines language models, Microsoft 365 applications and relevant work context accessed through Microsoft Graph. That context can include documents, messages and meetings within the user’s permissions. Copilot Chat, licensed app experiences and custom agents are different options; work-data access and available features depend on the assigned license and configuration. We review the actual tasks before recommending which experience fits.

03

Practical uses across your team

Word: prepare a first draft or summarize a document. Outlook: catch up on a conversation and draft a reply. Teams: review meeting discussion and proposed follow-up actions where the required features and meeting settings are available. PowerPoint: develop a presentation outline. Excel: explore supported analysis tasks with suitable, well-organized data.

04

Information access and responsible use

Existing permissions matter: information shared too broadly can also be discovered too broadly. Review SharePoint sites, shared files, guest access and sensitive information before rollout. Decide who may use agents, connectors and web features, and evaluate their data handling separately. Employees should verify sources and follow your organization’s rules before sharing or acting on an answer.

05

Readiness, licensing and technical requirements

Start by checking the eligible Microsoft subscription, Copilot licensing, supported apps, user identities and network access for the intended experience. Features vary by application, language, configuration and license. Digital Cloud can scope a readiness review and confirm the product requirements in the proposal; the consulting engagement does not automatically include software subscriptions.

06

Three practical stages of adoption

Discover: interview business teams and select useful tasks. Pilot: prepare permissions, onboard a small group and practice with representative work. Improve: compare the time and quality of reviewed outputs with the existing process, gather feedback and decide which teams are ready next. This makes the rollout decision depend on evidence from your own business.

07

Training and assistants beyond everyday tasks

Training covers clear prompts, useful context, checking outputs and recognizing when to ask a colleague. Administrator sessions cover rollout settings and ownership. When a use case needs a custom knowledge assistant or connected workflow, we assess Copilot Studio or another suitable approach separately, including data sources, action approvals and maintenance responsibilities.

08

What to prepare for a Copilot conversation

Bring the teams you want to support, a few repeated tasks, your Microsoft 365 setup and the information those tasks use. Avoid sending passwords or sensitive source documents through the inquiry form. We can agree a secure review process, practical pilot deliverables and a training plan after discussing the scope.

Project priorities

  1. Prompt practice

  2. Pilot scenarios

  3. Success criteria

We begin with a conversation about the task, the people involved and the systems already in place. Together we identify what a useful result would look like and which dependencies need attention first. The agreed proposal sets the delivery boundaries, responsibilities and acceptance criteria.

01PrepareInvolve the relevant process owners and prepare a representative example. Agree on the questions to answer, the preparation needed and the information that can be used safely.
02ReviewWork through the agreed scenario with the team. Capture decisions, open questions and the technical or organizational changes needed to move forward.
03ValidateReview the outputs together and assign next actions. A workshop or prototype informs the next decision; production implementation and continuing support are scoped separately.

Questions before you start

Do participants need live company data?

No. Sanitized examples can support practice. Access to real data, licenses and any pilot configuration must be agreed before the session.

What determines the cost and schedule?

The starting environment, integrations, user groups and agreed outputs determine the effort. We confirm scope and commercial terms before work begins. Software licenses, infrastructure consumption and ongoing support may be separate items.

What will we receive?

The proposal identifies the deliverables: these may include findings, a prioritized roadmap, a tested configuration, a prototype, documentation or training. We agree what is included and how completion will be assessed.

Can this work with our existing systems?

We review the actual applications, data sources and access requirements before recommending an integration. Dependencies and compatibility limits are recorded so the delivery plan reflects your environment.

What happens after the initial work?

You can use the findings to guide your own team or discuss a follow-on phase. Any maintenance, monitoring or support includes separately agreed service hours, responsibilities and response targets.
